Terms and Conditions for Varjo contest
1. Eligibility
To participate in this giveaway, entrants must:
- Be 18 years of age or older at the time of entry.
- Reside in one of the eligible countries listed below.
- Represent an accredited educational institution or research organization, and submit a valid VAT or business registration number for delivery.
Only individuals who complete and submit either the Academic Giveaway Form during the campaign period will be entered into the prize draw.
Submissions must be received by May 31, 2025 at 17:00 CET (18:00 EEST, Helsinki timezone).
Varjo reserves the right to verify eligibility and disqualify any entries that do not meet the requirements.
2. Eligible Countries
Australia, Austria, Belgium, Bulgaria, Canada, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hong Kong, Hungary, Iceland, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, New Zealand, Norway, Poland, Portugal, Romania, Singapore, Slovakia, Slovenia, Spain, Sweden, Switzerland, United Arab Emirates, United Kingdom, United States.
Note: Delivery must occur to the same country in which the participant’s institution is registered. Individual consumers (i.e. non-business entities) are not eligible.
3. Organizer
The giveaway is organized by Varjo Technologies Oy (“Organizer”), headquartered in Finland.
The Organizer is responsible for administering the giveaway and awarding the prizes.
4. Prize Details
Four (4) winners will each receive:

One (1) Varjo XR-4 Focal Edition headset with base station tracking

One (1) Varjo Base Pro perpetual license
Total package value: $15,990 USD / €15,990.
Winners are selected via random draw and will be announced on the following dates: April 22, May 6, May 20, and June 3, 2025.
The Organizer will cover shipping and related taxes as applicable under the local tax laws of the winner’s country. Winners are responsible for any other costs not expressly covered (e.g. compatible PC, accessories, or customs duties where applicable).
5. Winner Notification and Claiming the Prize
Winners will be contacted via email or phone by a Varjo representative.
If a winner does not respond within 48 hours, or if contact information is incorrect or invalid, Varjo reserves the right to draw a new winner.
To claim the prize, winners must provide:
- Full legal name
- Valid shipping address (within an eligible country)
- Contact phone number
- Institutional VAT or business registration number
Failure to provide required delivery information may result in disqualification and re-draw.
6. Participant Responsibilities
Participants must:
- Submit a valid proposal describing how the Varjo headset would be used in a research, teaching, or lab setting.
- Provide accurate and complete contact information.
- Confirm institutional affiliation and delivery eligibility.
By entering, participants confirm their information is truthful and agree to be contacted by Varjo for purposes related to the campaign.

- Name
- Email address
- Institution name and country
- Intended XR use case
- Consent to receive communications from Varjo.
Purpose of data collection:
- To verify eligibility and select winners

- To understand use case trends in education and research
- To share relevant updates and promotional content (you may opt-out at any time)
All data is processed in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR) where applicable.
Your data will not be sold or shared with third parties outside Varjo and its campaign partners.
